JOB SUMMARY:
This position is responsible for all aspects of the day-to-day property operations including, but not limited to, lease coordination, service contract administration, financial oversight, and customer satisfaction in accordance with client and Oxford expectations, for an assigned portfolio of commercial properties. Portfolios are determined based on square footage, number of buildings, location, number of tenants, and other factors. Portfolios for this role will typically include at least 8 properties with a total of at least 30 tenants.

JOB DUTIES:
Core duties and responsibilities include the following. Other duties may be assigned.
 
  1. Perform building inspections, evaluating building equipment, systems and grounds to ensure that the appearance and operation meet or exceed company standards.
  2. Have a strong financial understanding assigned properties by establishing annual budget, reviewing monthly financial reports and providing variance explanations, and daily review/approval of invoices and work orders.
  3. Have a thorough understanding of the cash position of assigned properties. This includes knowing the details of all escrow accounts, FAC loan activity, draw request/submittals, and investor distribution targets and execution.
  4. Oversee all property incidents, claims, and emergencies for assigned properties.
  5. Oversee and coordinate move-in and move-out activities, ensuring smooth process for tenants and proper set up internally.
  6. Direct property projects, including contracted work, OPM work, and CapEx work.
  7. Manage delinquency and collection process for tenants, including updating Yardi as necessary.
  8. Support commercial leasing team by reviewing lease proposals and advising of any known issues.
  9. Ensure all vacant units are “show-ready”.
  10. Assist with execution of tenant estoppels.
  11. Maintain building standards for individual properties and manage operation manuals.
  12. Facilitate property onboarding and offboarding processes, ensuring smooth transition between Oxford and other parties.
  13. Coordinate fire inspection process, including but not limited to TT questionnaires and communication.
  14. Act as trainer/mentor for person in Assistant Portfolio Manager position.


SUPERVISORY RESPONSIBILITIES:
This position may have supervisory responsibilities of Assistant Portfolio Manager(s) and/or Property Manager(s).

JOB REQUIREMENTS:
  1. Bachelor’s Degree and 4-5 years of related experience; previous commercial property management experience required.
  2. CPM, CFM, RPA, or another industry certification strongly preferred.
  3. Michigan Real Estate License a plus, but not required.
  4. Demonstrate strong oral and written communication skills; ability to correspond in a professional, courteous, businesslike manner and speak effectively before groups of customers.
  5. Demonstrate ability to apply principles of logical thinking and define problems, collect pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action.
  6. Demonstrate strong organizational skills with ability to prioritize tasks, and track and follow up on multiple concurrent action items.
  7. Proven record of providing excellent internal and external customer service.
  8. Previous experience with Yardi Voyager a plus, but not required.
  9. Valid driver’s license and automobile insurance coverage; Ability to provide own transportation.
  10. Perform all job duties with a positive attitude.


PHYSICAL REQUIREMENTS & WORKING CONDITIONS:
Employee will be regularly required to sit, use hands to handle or feel, and talk or hear. Employee will be frequently required to reach with hands or arms. Employee is occasionally required to sit or stand; walk and stoop, kneel, crouch, or crawl. Employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and depth perception. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Normal working office conditions. Noise level in this work environment is usually quiet to moderate. The employee may, at times, be required to respond to building related emergencies after-hours.
